Client Guide: How Remote Online Notarization (RON) Works
Welcome! To ensure your remote notarization appointment goes smoothly and without delay, please review the step-by-step process, document requirements, and preparation checklist below.
Platform Security & Compliance: ALL Sessions are powered by Indiana state-approved RON technology that strictly complies with all statutory standards for credential analysis, identity verification, and encrypted journaling.
1. How the Process Works
Once you submit your session request and details:
- Document Review & Pre-Tagging: The notary will review your uploaded document and pre-tag key fields (signature lines, dates, and certificate blocks) to ensure a smooth, efficient session.
- Receiving Your Meeting Link: You will receive a secure session invitation link via email from our Platform (typically within an hour). Please check your spam/junk folder if you do not see it in your inbox.
- Identity Verification & Sign-In: Click your meeting link to complete your identity verification and Knowledge-Based Authentication (KBA).
- Live Session: Once you successfully pass the verification process, you will be connected live with your notary.
2. What You Must Have Ready
Before clicking your session link, please make sure you have the following ready:
A. Valid Government-Issued Photo ID
- Accepted IDs: Driver’s license, state ID card, or passport (must be valid and unexpired).
- Requirements: Applies to all signers and required witnesses.
- Device: You will need a smartphone, tablet, or webcam capable of capturing a clear, high-resolution photo of the front and back of your ID.
B. Identity Verification / Knowledge-Based Authentication (KBA)
- Security Questions: Be prepared to answer 5 multiple-choice security questions generated from public record databases (credit history, past addresses, etc.) within a set time limit.
- SSN: You will need to provide the last four digits of your U.S. Social Security Number to generate these questions.
- Coverage: All signers and witnesses must individually pass ID and KBA verification.
C. Technology Requirements
- Device: A computer, tablet, or smartphone equipped with a working webcam, microphone, and speakers.
- Internet: A stable, high-speed internet connection.
- Browser: An updated web browser (Google Chrome is strongly recommended). Allow camera and microphone permissions when prompted.
3. Critical Document Requirements
By state law, a notary cannot notarize an incomplete or non-compliant document. Please verify the following before starting your session:
Completely Filled Out (No Blank Fields)
- Zero Blank Spaces: Every blank line, checkbox, or field in the main body of the document must be completed prior to notarization. Documents containing un-filled fields cannot legally be notarized.
- File Format: PDF format works best (high-resolution images are also accepted).
- Do NOT Sign in Advance: Do not sign or date the document prior to the meeting. All signatures must be applied digitally on screen during the live video session with the notary.
- Signer Responsibility: You are responsible for the accuracy of your document's contents. The notary only verifies identity and completes the legal Notarial Certificate. Depending on the certificate type, you may be required to swear an oath, affirm details, or declare a voluntary signature on camera.
Mandatory Notarial Certificate Wording
- Notary Block Required: Every document requires statutory certificate wording (e.g., an Acknowledgment or a Jurat/Oath).
- Missing Language: If your document only contains a standalone signature/stamp line without proper legal certificate text, please notify us ahead of time so an appropriate loose-leaf notary certificate can be selected in compliance with state law.
- Selecting Your Certificate: By law, notaries cannot select the type of notarization for you. If you are unsure whether an Acknowledgment or Jurat is required, please confirm with the receiving party or agency beforehand. *Your Online Notary will also have certificates for you to choose from.
4. What to Expect During the Live Session
- Join the Meeting: Click your secure email link. Allow camera and microphone access when prompted.
- Complete Verification: Complete the automated ID snapshot capture and answer the KBA security questions.
- Connect with Your Notary: Your notary will join the video call, verify your identity, confirm you are signing voluntarily, and ensure you understand the document contents.
- Electronic Signing: You will review the document on-screen and apply your electronic signature.
- Notarization & Delivery: The notary attaches their digital seal and electronic signature. Once completed and payment is processed, your finalized, tamper-evident document will be available for immediate download.
5. Cancellation & Rejection Policy
If the notary is unable to accept or complete your session request, you will be notified via email or text as soon as possible. Common reasons a session may be declined include:
- Incomplete Documents: Unfilled blank spaces or missing information.
- Missing Notarial Wording: Lack of an attached or proper notary certificate block.
- Failed Verification: Failure of any signer or witness to pass ID image capture or KBA questions.
- KBA Policy: Signers/witnesses get 2 attempts to pass. After two failed attempts, a mandatory 24-hour lock period applies before another attempt can be made.
- Ineligibility for Online Notarization: Suspected fraud, illegal activity, or document types that cannot legally be notarized online under state or federal law.
- Language Barriers: All signers must be able to communicate directly with the notary in English without a third-party translator. If bilingual support is required, we can refer you to an appropriate platform.
Note: A notary public reserves the right to refuse any notarization at their sole discretion due to suspected fraud, incomplete documentation, coercion, or failed verification requirements.
